Obsidian Detailers Portal

Privacy Policy

How we handle your information.

Effective date: October 10, 2026

This policy explains how Obsidian Detailers Portal, operated by Obsidian Detailers Portal LLC, handles information.

1. Who this covers

  • Shop users: detailing businesses and their team members who use the Portal.
  • Shop clients: the customers whose information shops enter into the Portal. For that information, the shop is responsible for collecting it lawfully and getting any needed consent; we store and process it on the shop's behalf.

2. What we collect

  • Account info: name, email, phone, business name, address, password (stored encrypted).
  • Business data shops enter: clients, vehicles, jobs, invoices, payments recorded, inventory, notes, and photos.
  • Usage info: log data such as IP address, browser type, pages visited, and error reports, used to keep the Portal secure and working.
  • Billing info: handled by our payment processor; we don't store full card numbers.

3. How we use it

  • To run the Portal: scheduling, invoicing, reminders, review requests, and other features shops turn on.
  • To send service emails (account, billing, and important updates).
  • To provide support, fix bugs, prevent abuse, and improve the Portal.
  • Product names from shop inventory may be added to a shared Products catalog without any shop name, quantities, costs, or client information.

We do not sell personal information, and we don't use shop or client data for advertising.

4. Who we share it with

Only service providers that help run the Portal, under their own privacy and security terms:

  • Hosting and file storage (Vercel)
  • Database (Neon)
  • Email delivery (Resend)
  • AI label reading for photo-to-inventory (Anthropic), only when a shop uses that feature
  • Payments (Stripe), once billing is active

We may also share information if required by law or to protect the Portal and its users.

5. Where data is stored

Our providers may store and process data in the United States. If you're outside the US (for example, in Canada), your information may be subject to US law.

6. How long we keep it

We keep data while an account is active. After an account is closed, we delete or anonymize it within a reasonable period, except where we need to keep records for legal, tax, or security reasons. Shops can request an export before closing.

7. Security

We use encrypted connections, access controls, and reputable providers to protect data. No system is perfectly secure; if a breach affects your information, we'll notify you as required by law.

8. Your choices and rights

You can view and update your account information in the Portal. You can ask us to access, correct, export, or delete your personal information by contacting us. Shop clients should contact the shop first, and we'll help the shop respond. Depending on where you live (including Canada under PIPEDA and California under the CCPA), you may have additional rights.

9. Children

The Portal is for businesses and isn't intended for anyone under 18.

10. Changes

We may update this policy and will notify users in the app when we do.
